The challenge
We host a webinar every week for HR professionals. It draws hundreds of attendees and has built a growing following in the HR space, with the leadership series pulling the biggest crowds. Every webinar comes with a long list of content: branded Zoom graphics, promo graphics for each brand's website, email blasts before and after, a monthly newsletter, the presentation, handouts, a page for the recording, and social clips. Early on, getting one webinar out the door took most of our week and pulled time away from everything else in marketing.
What I did
Instead of rebuilding every piece from scratch each week, I turned the whole process into a repeatable system. Templates, a set schedule, and a bit of AI now do the heavy lifting, so the team can focus on making each webinar good, not just getting it out the door.
Templates for everything that repeats
Presentations, handouts, Zoom and web graphics, and email and newsletter imagery are built so they come together fast and stay on brand.
Video that drives sign-ups
Short vertical LinkedIn clips pull the best moments from each webinar and point people to register. AI pulls the transcripts and finds the strongest moments, and After Effects and Premiere templates with set subtitles and a one-click presenter swap turn out a batch of clips in about an hour.
Documented so anyone can run it
Every step, from the weekly schedule of emails to coordinating with contractors, is written down in detail, with video tutorials for the trickier parts. Anyone on the team can pick it up and get the same result.
The result
What used to take most of a week now takes about an afternoon, which frees the team up for the rest of our marketing. In 2025 the webinars racked up 50,000+ views, live and on demand. And because every step is documented, the program keeps running smoothly week after week, no matter who's in control.
